Privacy Commitment
HD Career Consulting LLC, doing business as WorkLife Wellness Lab ("we," "our," or "us"), is committed to protecting your privacy and ensuring transparency about how your personal information is collected, used, and protected when you engage with our services, website, and communication tools.

Information We Collect
We may collect the following types of personal information: name, email address, phone number, mailing address, intake responses, service-related information, health and service preferences (when applicable), payment information (via secure, third-party processors), communication records (email, SMS, telehealth session notes), and website usage data (e.g., through cookies or analytics tools).

How We Use Your Information
Your information is used to provide and coordinate services; schedule, confirm, and manage appointments; communicate important updates; deliver secure telehealth or coaching sessions; process payments and manage your account; comply with legal and regulatory requirements; and improve internal operations and service delivery. We do not sell or rent your information to third parties for marketing purposes.

Data Protection Measures
We use industry-standard safeguards to protect your personal data, including encrypted communication channels (email, SMS, telehealth), secure electronic health records and client portals, and limited access by authorized personnel only.

AI-Assisted Documentation Policy
We may use a HIPAA-compliant AI tool to assist in clinical or service note-taking. This tool converts session conversations to written notes using speech-to-text technology, does not store audio recordings, de-identifies transcripts and disassociates them after 14 days, and is used strictly for improving efficiency and quality of documentation. All AI-generated notes are reviewed and finalized by your provider.

Telehealth Policy
Our telehealth services are provided through electronic means, including video conferencing and secure communication platforms. While we take precautions to protect your privacy and adhere to legal and ethical standards, please note that the transmission of information online inherently carries some risks. We cannot guarantee the security of the technology you use on your end. By engaging in telehealth services, you understand and accept these risks and consent to the electronic exchange of information for the purpose of receiving our services. All services are delivered via telehealth, which requires clients to navigate online platforms for appointments, homework, and communication. You are responsible for the service fees even if you are unable to access the platforms. We can only serve clients within the state of Colorado.

Emergency Resources
While our services are designed to be effective for a wide range of concerns, telehealth may not be suitable for all emergency situations. If you are in immediate danger or experiencing a mental health crisis, please contact 9-1-1 or a local crisis service. SMS Policy
We collect your mobile phone number and any related information when you provide it during intake or communicate with us directly. We use SMS to confirm, remind, or reschedule appointments; prompt clients to complete onboarding paperwork or follow-up documents; notify you of important service-related updates; and provide support or direct you to resources. We do not use SMS for unsolicited marketing. By providing your mobile number and opting in, you agree to receive SMS messages from us related to the services you have requested. Message frequency may vary. Message and data rates may apply. You can opt out at any time by replying STOP. You can get help by replying HELP.

Communication Consent
By providing your contact information and engaging with our services, you consent to receive service-related communications from us via SMS (text messaging) and email. These communications may include: appointment reminders and confirmations; requests to complete intake, onboarding, or follow-up documents; program updates, scheduling changes, or service notifications; and resources or tools relevant to your engagement with our services. Consent may be obtained through website forms, verbal confirmation, written agreement, or by initiating contact. You can opt out of SMS messages by replying STOP, and unsubscribe from emails via the unsubscribe link or by contacting us. Communications regarding marketing of our products can be accessed by expressly opting in to receive such content, with the ability to reply to the messages at anytime to requesting to be removed from future communication.

Data Retention
All records, including those generated by Clinical Notes AI, and stored in our electronic health record system are stored securely and maintained in accordance with HIPAA regulations. Audio files are not stored in any system, and transcripts are de-identified and disassociated from your personal information after 14 days. Finalized notes are reviewed and approved by your provider and retained as part of your client record.

Confidentiality
Confidentiality is of utmost importance in our practice, and we adhere to strict ethical and legal standards to protect your privacy. Information shared during therapy sessions is kept confidential, with a few exceptions outlined in our confidentiality policy. Provisionally licensed professionals follow the same confidentiality standards as fully licensed professionals.

Third-Party Disclosure
We only share your information with third-party providers when necessary to deliver services, such as appointment and communication platforms (e.g., Zoom, Twilio), payment processors (e.g., Square, Stripe), AI documentation tools (HIPAA-compliant only), or legal or regulatory authorities when required by law.

Cookie and Tracking Policy
We may use cookies or analytics tools (e.g., Google Analytics) to track website usage for performance improvement. You can manage or disable cookies in your browser settings.

Policy Updates
We may update this Privacy Policy periodically. Changes will be posted on this page, and continued use of our services constitutes acceptance of the updated terms.

Your Rights
You have the right to request access to your personal data; request a correction to inaccurate information; request deletion of data, as legally permissible; withdraw consent to SMS or AI-assisted documentation; and be informed about how your data is being used.
